EventRent.ai Booking Terms

Version 2026-11-v1. EventRent.ai is a booking agent. Items are delivered by vetted partner rental companies. These terms cover deposits, balance, cancellation, damage, delivery and liability.
1. Who we are
EventRent.ai LLC ("EventRent.ai", "we") arranges wedding and event rentals as a booking agent. The items you book are owned, delivered, set up and picked up by independent partner rental companies ("Partners") that we have vetted. We are not the owner of the rental items. The Partner responsible for your order is identified on your booking confirmation.
2. Quotes and pricing
All quotes are estimates until each Partner confirms availability in writing. Prices are each Partner's retail price. Your total includes items, delivery, setup, pickup, any optional damage protection and applicable sales tax. No additional fees are added at checkout. A price lock holds your quoted prices for 48 hours; your date is reserved only when the deposit is paid and all Partners have confirmed.
3. Deposit and balance
A deposit of 50% of the total is due after all items are confirmed. The remaining balance is due 14 days before the event date. Bookings made inside 14 days of the event are paid in full at confirmation. Unpaid balances may result in cancellation.
4. Changes
You may change items, quantities and guest count at no charge until 14 days before the event, subject to Partner availability. Later changes require our approval and may carry a fee set by the Partner.
5. Cancellation and refunds (placeholder schedule)
Cancellation more than 60 days before the event: full refund of the deposit less a 5% processing fee. 30 to 60 days: 50% of the deposit is refunded. Fewer than 30 days: the deposit is non-refundable. Fewer than 14 days: the full balance is non-refundable. Custom or specially sourced items are non-refundable once ordered.
6. Damage, loss and damage protection
You are responsible for rental items from delivery until pickup. Optional damage protection (10% of the rental subtotal) covers accidental damage during normal use. It does not cover loss, theft, misuse, weather damage to items left uncovered, or damage beyond repair. If you decline damage protection you authorize us to keep your payment method on file and to charge verified repair or replacement costs after the event. We will send you the Partner's photo evidence and an itemized notice at least 48 hours before any charge.
7. Delivery, access and setup
You must provide accurate delivery details, a contact on site, clear access for a box truck or trailer within 100 feet of the setup area, level ground, and any power or water hookups listed in the item specifications. Waiting time, extra distance, stairs or elevators may be billed at the Partner's rates. Delivery windows are estimates.
8. Weather
Partners deliver rain or shine. Tents are installed only when wind and ground conditions allow safe anchoring. If a venue or authority prohibits installation, standard cancellation terms apply. We recommend tenting for outdoor events.
9. Insurance certificates
On request after confirmation, we will ask the Partner to issue a certificate of insurance naming you and your venue as additional insured. Issuance is subject to the Partner's policy terms.
10. Limitation of liability
Our role is limited to arranging rentals. To the fullest extent permitted by law, our total liability for any claim is limited to the amount of our commission on the affected booking. We are not liable for Partner performance, indirect or consequential damages, or events beyond our control. Nothing in these terms limits liability that cannot be limited by law.
11. Electronic signature
By checking the acceptance box and typing your name you sign these terms electronically. We record the terms version, your name, the time and your IP address with your booking.
